Family Support Co-ordinator for our Respite Breaks
20 hours on Monday, Wednesday and Fridays
The main objective of the role is to deliver high quality support servicesfor Momentum Children’s Charity families, specifically focusing on our respite breaks.
It is essential that you can commit to working during our ‘peak booking’ periods (school holidays)due to the requirements of the role.
The Family Support team provide a range of support services includingboth practical, socialand emotional support services, supporting families as required who have children with cancer or life-challenging conditions and their families.
DUTIES AND RESPONSIBILITIES
Manage, co-ordinate and administer the respite breaks booking and evaluation process for our cabins (including beach hut) and boat. To include management of the online booking system, database and ensuring that the cabins and boat are used to their full potential
Contact families via telephone, text, email keeping them informed of the respite break booking and follow up evaluation. Will include accurate recording of information on database
Respond to booking cancellations and amendments, and where possible seek out alternative solutions
Liaise with suppliers to ensure services are planned and booked in when required i.e. cleaners, repair work, maintenance, replacement of equipment etc.
Work with providers to ensure that cabins (incl. beach hut) and boat are maintained to a high standard and are in good working order
Responsible for approval of provider invoices in line with agreed budget
Plan and manage the annual budget for the cabins (including beach hut) and boat
Identify, plan and manage key events for usage of the boat, work with Marketing to promote the events to families
Identify quieter booking periods for respite breaks and collaborate with Marketing to promote these periods to selected families
Recruit and manage volunteers needed for boat, to include ensuring all volunteers receive training, have an up to date DBS and management of volunteer availability
Report back on respite breaks taken and evaluation feedback on a quarterly basis
Delivery of family support services in line with the budget and the overall charity Business Plan
Work within the Family Support Team, to support the allocated caseload of families
Liaise with the fundraising team, to keep families abreast of other activities and events from Momentum.
Prepare weekly report to update extended charity team of family support services on a weekly basis, with the exception of any confidential issues
Attend monthly Family Support Team meetings to share family information, discuss issues and recommendations, review processes for supportand monitor outcomes/impact
Attend relevant training appropriate to the post
Support Family Support Team with other tasks, as requested
